Managing Members: Automatic, Flexible, and Ahead of Time

Board Assistant 26.06.2025

Assigning the right people to the right tasks matters — a lot. And now you can do it not just automatically, but also individually for each card, even before it’s moved.

That means you can literally say, “When this card moves to ‘In Progress’, assign it to Sarah. And that one? Give it to Jake.”
Board Assistant makes it happen. Automatically. Exactly how you planned it.

Automatic Rules for Lists

Each list on your board can have its own logic for assigning members. This is the standard automation:

  • 🔁 Replace members — removes all current members and assigns a new set.

  • ➕ Add members — adds new ones without touching the existing ones.

  • ❌ Remove all — clears the member field completely.

  • 👌 No changes — leaves everything as is.

Example:
All cards moving into “In Progress” automatically get assigned to Emma from QA. And once they move to “Done”, no one is assigned at all.

Individual Rules Right in the Card

Here’s the real game-changer:
Every card can have its own custom member assignment rules — for each list.

Yes, you simply open the desired card in the Board Assistant settings panel — and define:

  • Who should be added when the card moves to a certain list

  • And who should be removed

Perfect for personalized workflows.

🎯 Example:
You’ve got a special “UX Review” card. Normally, everything in “In Progress” goes to Sarah, but this one should be assigned to your designer, Alex.
Just set that rule in the card — and when it moves to “In Progress”, Alex stays assigned.
Because individual card rules always take priority over general list rules.

In Summary

No more random member assignments.
You can:

  • Set default logic for each list

  • Or fine-tune special cases card-by-card

It’s automation that thinks like you do — Smart. Flexible. And a real time-saver.
